What the enquiry form collects, why we hold it, who else can see it, how long it stays and what you can ask us to do about it.

1. Who this is, and what it covers

Sudhinam Chits Private Limited decides why and how the personal information described here is handled. Our office is at Padinjaragadi, Ponnani-Edappal Road, opposite the Indian Oil petrol pump, Palakkad District – 679552, Kerala, India. Write to sudhinamchits@gmail.com with any question about this policy or about your own information.

This policy is about the website. It covers what happens when you send an enquiry through sudhinamchits.com or by email, and the technical information any web server handles in order to deliver a page.

It does not cover membership of a chit. If you join one, the information involved in that relationship — identification, the chit agreement, payment records, auction records and anything a registered chit is required to maintain — is handled under that arrangement and under the rules that apply to it, which are more specific than this page. We will tell you at the point that starts.

2. What the website collects

The enquiry form asks for a name and an email address, both needed to reply, and optionally the payment rhythm you are interested in and the instalment you have in mind. The message field holds whatever you write.

Please do not send identity documents, bank details, account numbers or photographs of paperwork through the form or by email. None of it is needed to answer an enquiry, and an inbox is the wrong place for it to live. If you send something of that kind by mistake, tell us and we will delete the message.

Writing directly to sudhinamchits@gmail.com collects the same categories in the same way.

Separately, the infrastructure delivering this website handles the technical data any server needs to respond: the IP address of the connection, the page requested, the response status and general information about the browser. That is operational data. It is not combined with enquiry data and is not used to build a profile of anybody.

3. Why we hold it

To answer you. An enquiry is read, considered and replied to, and where a conversation continues the same information supports it.

To keep a record. A company that will later be asked what was said before somebody joined a chit needs to be able to establish that. Keeping correspondence is part of running a chit business responsibly, and it protects the member as much as the company.

To keep the site working and safe: detecting abuse, mitigating attacks and diagnosing faults, which is what the technical data is for.

We do not use website enquiries for advertising, we do not sell information, and we do not add enquirers to a marketing list. If we ever wanted to send you something that was not a reply to your own message, we would ask first.

4. On what basis

The legal basis depends on the law that applies to you, so this policy describes the position substantively rather than asserting a single regime.

Answering an enquiry is handling information in order to respond to a request you made, and where relevant to take steps at your request before entering into an arrangement. Retaining the correspondence afterwards rests on our interest in being able to establish what was said, weighed against your reasonable expectations.

Where the law that applies requires your consent for something — non-essential analytics, for instance — we ask for it separately, and we do not treat silence as agreement.

Where local law gives you rights beyond those described below, those rights apply and nothing here limits them.

5. Who else sees it

Enquiries are not shared with other members, not passed to agents or introducers, and not sold.

A small number of providers necessarily handle information on our behalf so that the website and our email function. This site is published as a static site and delivered through a hosting and content-delivery platform; the enquiry form is handled by a serverless function on that platform, which passes the message to an email delivery service so it reaches our inbox; and correspondence is held in our business email account.

Those providers act on our instructions and are not permitted to use the information for their own purposes. Because that infrastructure is distributed internationally, information may be handled outside India; where that happens we rely on the provider's contractual commitments and the safeguards it applies.

We may disclose information where we are legally required to, or where it is necessary to establish, exercise or defend a legal claim. In either case we disclose no more than is required.

6. How long it stays

Enquiry correspondence is kept for as long as it is needed for the purposes in section 3. A message that leads to membership is kept for as long as that relationship needs a record; a message that leads nowhere is kept for a shorter period, long enough to recognise a repeat approach.

We review what is held and delete what no longer serves a purpose described here. This policy does not state one fixed period, because a period that is honest for one category would be wrong for another and a number invented for tidiness is worse than an explanation.

You may ask us to delete correspondence relating to you at any time. Where we can do so consistently with a legal obligation or an ongoing arrangement we will, and we will tell you what was deleted and what, if anything, was kept and why.

7. What you can ask for

Subject to the law that applies to you, you may ask for a copy of the information we hold about you; ask us to correct it if it is wrong or incomplete; ask us to delete it; ask us to stop using it in a particular way; and, where applicable, receive what you gave us in a portable form.

Write to sudhinamchits@gmail.com and describe what you want. We may ask a question to be sure we are dealing with the right person and the right correspondence, and we will keep that check proportionate — we will not ask for identity documents in order to answer a question about an email you sent last week.

We aim to respond substantively within thirty days, and to tell you if a request will take longer and why. If you are unhappy with how a request was handled, tell us first, and you keep whatever right of complaint the law gives you.

8. Security, children and changes

The site is served over an encrypted connection and enquiry submissions travel over the same. Access to correspondence is limited to the people who need it. No system is perfect, which is exactly why section 2 asks you not to send documents or bank details by email.

This website is aimed at adults considering a chit. It is not directed at children and we do not knowingly collect information relating to them. If you believe a child has sent us personal information, write to us and we will delete it.

We may update this policy when our practices, our providers or the configuration of the site change. The date at the head records the current version, and where a change is significant and we are already corresponding with you, we will mention it there.
